PURPOSE
To work with staff at all levels, including delivery partners, to support the compliance function. You will support staff with any contractual queries through the designated helpdesk service. You will play a key role in supporting the extrapolation process and investigations as well as champion information security awareness across the business. You will support with the due diligence process as required for new and existing suppliers. You will be responsible for creating and maintaining robust tools, templates and guidance. In addition, you will manage and maintain accurate compliance documentation and the Compliance and Audit and data security intranet pages. You will also perform general office management duties.
KEY DUTIES
Data Security
· Proactively maintain and enhance the IngeusNet Data Security site
· Management of data security incidents- receiving, processing, escalation and logging events and issues
· Ensure the data security investigation process and tools are fit for purpose
· Support investigations
· Provide relevant and timely advice and guidance to the business
· Produce weekly updates on all events
· Prepare quarterly presentation for Data Security Compliance Committee meetings
Advice and Guidance
Manage, monitor and respond to queries via telephone and the helpdesk for internal sites and delivery partners
Produce analysis on types of queries and identify and report potential weaknesses
Support the memo process and liaise with relevant departments, namely Commercial and the NET. Assess information and impact on processes and systems
Produce ad hoc documents and reports as and when required
Audit Activities
Support with the due diligence process
Maintain Ingeus audit timetable and audit spreadsheets
Maintain effective logs for all internal and external audits conducted, including incidents and investigations
Maintain effective logs for both internal and external guidance from DWP, Job Centre Plus and Ingeus UK
Maintain effective tracking system of all information issued to the business via the compliance team e.g. memo log
Facilitate all legacy contract audits in relation to ESF
Support corporate self assessment activities
Assist with general administration and preparation prior to internal and subcontractor audits being conducted as required
Assist in the implementation of recommendations which have derived from internal or external monitoring audit as required
Support activities in relation to any external standards e.g. matrix and Merlin
Support with record reviews in relation to investigations including completion of initial reports
Training
Deliver training when required - corporate or site based
Prepare induction packs and any other relevant materials for training purposes
Organise and plan training events when required
Other
Support, compile and check final submission for quarterly DWP extrapolation
Minute meetings as required
Coordinate full team’s diaries and travel arrangements, including management of travel budget
